Pixamation Inc. (“Pixamation,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect on www.pixamation.com, why we collect it, how we use it, and the choices you have.
1. Who we are
Pixamation Inc. provides enterprise IT services, including server installation, custom software, data backup, security systems, and related support.

2. Information we collect
Information you provide
- Contact form: name, email address, phone number (optional), service requested, and message.
- Client portal login: username, password, and authenticator (TOTP) codes used to sign in.
- Payroll portal (authorized users only): company, employee, and payroll information needed to run payroll, which may include names, addresses, wage data, tax filing status, and Social Security numbers.
Information collected automatically
- Visitor analytics (only if you tap Accept All): IP address, approximate location (country, region, city, and coordinates derived from IP), page viewed, browser user agent, and time of visit.
- Essential site storage: your cookie/privacy choice, and a session token after you log in (kept in the browser for the session).
- Payroll accessibility preference: font-size setting stored locally on the payroll page.
If you tap Reject, we do not log visitor analytics. We still store your choice so the banner does not reappear on every page, and we still use storage required to operate login and payroll for users who sign in.
3. How we use information
- Respond to inquiries and provide requested services.
- Operate the client and payroll portals, including authentication and session security.
- Understand aggregate website traffic when analytics are enabled.
- Maintain security, prevent abuse, and comply with law.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
4. Legal bases (EEA/UK visitors)
Where GDPR or UK GDPR applies, we process personal data on these bases:
- Consent — visitor analytics and non-essential storage, via Accept All.
- Contract / pre-contract steps — responding to a quote or support request, and providing portal access.
- Legitimate interests — securing the site, preventing fraud, and operating essential functions.
- Legal obligation — tax, accounting, and other records we are required to keep.
You may withdraw analytics consent at any time through Cookie Settings.
5. Cookies and similar technologies
Details are in our Cookie Policy. In short, we use browser local storage for your privacy choice and session storage for login. We do not set advertising cookies.
6. Service providers
We use vendors who process data on our behalf or as independent services:
- Supabase — hosting for our database, authentication backend, and edge functions.
- ip-api.com — IP-to-location lookup used only when analytics consent is given.
- Google Fonts — web fonts. Your browser may contact Google to download font files.
- jsDelivr / Chart.js — chart library used on authenticated dashboard and payroll pages.
These providers may process data in the United States or other countries.
7. Retention
- Contact inquiries: kept as long as needed to respond and for ordinary business records.
- Visitor analytics: kept for internal reporting; we may delete or aggregate older logs.
- Portal sessions: expire after inactivity (about 30 minutes).
- Payroll and tax records: retained as required by applicable employment and tax law.
- Consent choice: stored in your browser until you clear site data or change it.
8. Security
We use HTTPS, hashed passwords, two-factor authentication for the client portal, and access controls for administrative tools. No method of transmission or storage is 100% secure.
9. Your rights
Depending on where you live, you may have the right to:
- Access, correct, or delete personal information we hold about you.
- Withdraw consent for analytics.
- Object to or restrict certain processing.
- Receive a copy of information you provided (data portability).
- Lodge a complaint with a supervisory authority.
California residents also have rights under the CCPA/CPRA to know, delete, and correct personal information, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined under California law. We do not use or disclose sensitive personal information for purposes that require a right to limit, other than to provide requested services (for example, payroll processing for authorized clients).
To exercise rights, email timothy@pixamation.com. We may need to verify your request. Authorized agents may submit requests with proof of authorization.
10. Children
This website is intended for business customers and is not directed at children under 16. We do not knowingly collect personal information from children.
11. Do Not Track
There is no consistent industry standard for Do Not Track browser signals. We honor the choice you make in our cookie banner.
12. Changes
We may update this policy from time to time. The “Last updated” date will change when we do. Continued use of the site after an update means you should review the revised policy.
